# Organizing the Data Room

> Use folders, auto-organize, and skills to keep a deal's Data Room easy to navigate

A deal's Data Room holds every file Apers and your team work from. Folders keep it navigable, auto-organize can file new uploads for you, and skills tell Apers how to work with specific files.

## Folders

* **Create a folder** with **New folder**.
* **Move files** by dragging them onto a folder, or select them and choose **Move to…**. The **Move to…** dialog can also create a new folder to move them into.
* **Upload a whole folder** and its subfolders come with it.
* **Upload a .zip** and Apers unpacks it into its files and folders.
* **Upload Outlook emails** (.msg) and **SVG images** alongside your other files. Apers reads the email, and converts SVGs to PNG.

For size limits and the other supported formats, see [Uploading & Understanding Documents](https://docs.apers.app/ingestion.md).

## Auto-Organize Uploads

Turn on **Auto-organize uploads**, under the upload area of a deal's Data Room, and Apers organizes new uploads into folders and tidies up their filenames.

* It's a per-deal setting.
* It only affects new uploads. Files already in the Data Room stay where they are.
* Turn it off to leave new uploads exactly as you name them.

## Skills

A skill is a set of instructions Apers reads before working with something, such as how to drive a particular workbook or how to lay out a model the way your firm does. Apers uses the open Agent Skills format: a folder containing a `SKILL.md` file, plus any reference files it needs.

### Where skills show up

Skills in the top level of the Data Room are grouped together in a pinned **Skills Loaded** row at the top of the file tree, collapsed to a count until you open it. "Loaded" means Apers has them in view while it works on the deal. In your Library, the same row reads **Available Skills**, since Library skills aren't in use until you add them to a deal.

### Adding a skill

**1. Upload a skill folder**

Upload a folder (or a .zip of one) with a `SKILL.md` at its top. Apers recognizes it as a skill automatically. A skill written for other tools that use the same format uploads unchanged.

**2. Or add a skill to a spreadsheet**

Open the triple-dot menu (⋮) on an .xlsx file and choose **Add Skill** to write instructions for that workbook. Once it has one, the same menu item reads **View Skill**.

**3. Or get one from the Marketplace**

Many Marketplace models come with a skill that tells Apers how to use them. See [Marketplace](https://docs.apers.app/marketplace/overview.md).

### Downloading a skill

Choose **Download Skill** from a skill's menu to save it as a .zip in the standard format, ready to use in other tools that support Agent Skills.

> [!TIP]
>
> Skills are a good home for your firm's conventions: how you name tabs, which assumptions you default to, how a memo should be structured. Save them to your [Library](https://docs.apers.app/library/01-overview.md) and add them to any deal where they apply.
