# Creating Models
Source: https://docs.apers.app/ai-excel-modeling/creating-models
Learn how to create new spreadsheets and clean up messy data
Apers can build spreadsheets from scratch and clean up messy data for you.
## Creating Spreadsheets from Scratch
Tell Apers what you need, and it will build a spreadsheet with dynamic formulas.
**What you can create:**
* Proforma models
* Asset management trackers
* Portfolio management spreadsheets
* Any custom model you describe
Type what you want in the Chat box. For example: "Create a multifamily proforma for a 50-unit apartment."
Drag and drop rent rolls, OMs, LPAs, or other documents into the Data Room. Apers will use this information in your model.
Apers will create your spreadsheet with dynamic formulas based on your instructions and documents.
## Using Unstructured Documents
Apers understands scanned and unstructured documents. You can upload:
* Scanned rent rolls
* Offering memorandums (OMs)
* Limited partnership agreements (LPAs)
* Other legal or financial documents
Apers extracts the key information and uses it to build your model.
This is powered by Apers' unstructured data ingestion engine. Learn more in the Uploading Files documentation.
## Normalizing Messy Data
Have a disorganized spreadsheet? Apers can clean it up.
Drag and drop the spreadsheet into the Data Room. Or take a screenshot and drop that in.
Type something like: "Normalize this rent roll" or "Clean up this spreadsheet."
Apers recreates the data in a clean, organized format—saving you hours of manual work.
Screenshots work too. If you have a messy table in a PDF or image, just drop it in and ask Apers to recreate it.

Apers saves versions of your spreadsheet automatically. To access them:
Find the green file icon in the top right of the spreadsheet panel.
This opens your spreadsheet in Google Sheets.
In Google Sheets, you can see all previous versions and restore any one you want.
## Why Version Control Matters

| **Use Your Documents** | Turn scanned rent rolls, OMs, LPAs, and other files into working models |
| **Clean Messy Data** | Fix disorganized spreadsheets—even from screenshots |
| **Check for Errors** | Find mistakes in your existing models |
| **Understand Your Models** | Apers reads and learns the logic of spreadsheets you upload |
## How to Start
Just type what you want in the Chat box.
**Examples:**
* "Create a multifamily proforma"
* "Check this model for errors"
* "Recreate this rent roll from my screenshot"
To use existing files, drag and drop them into the **Data Room** on the right side. Apers will read and understand them automatically.
Apers can turn scanned documents into spreadsheets using its built-in document processing.
# AI Thinking Process & Approvals
Source: https://docs.apers.app/ai-excel-modeling/thinking-process
Learn how to review and approve Apers' spreadsheet changes
Before Apers makes changes to your spreadsheet, it shows you exactly what it plans to do. You stay in control.
## How Apers Thinks
When you give Apers a task, it first creates a plan. You can see:
* **Thinking process**: How Apers is strategizing the model
* **Planned changes**: Which cells it will update, create, or change
* **Content preview**: The numbers and formulas Apers will use
This transparency lets you review everything before it happens.
## Approval Options
After Apers shows its plan, you choose what to do:
Approves this single update. Apers will make the change and then pause for your next approval.
Gives Apers full autonomy. It will execute all changes without pausing—this is called **Fast Mode**.
Fast Mode can use more credits than expected. Recommended for Pro and Enterprise users with sufficient credits.
Stops Apers from making the change. You can type a reason explaining why, and Apers will adjust its approach.
## When to Reject
Sometimes Apers might:
* Misunderstand your instructions
* Use different assumptions than you expected
* Change something you wanted to keep
Just click **Reject**, type your feedback, and Apers will try again with your guidance.
Rejecting with a clear reason helps Apers learn what you want for the rest of the task.
# Working with Existing Models
Source: https://docs.apers.app/ai-excel-modeling/working-with-existing-models
Learn how to upload, audit, and work with your existing spreadsheets
Apers can read, understand, and improve spreadsheets you already have.
## Uploading Your Models
The Data Room is on the right side of your screen.
Drop your Excel file into the Data Room.
Apers will read and understand the structure and logic of your model automatically.
## What Apers Understands
When you upload a model, Apers learns:
* The overall structure
* How formulas connect to each other
* The logic behind calculations
* Sub-models and their relationships
This means you can ask questions or make changes without explaining everything from scratch.
## Checking for Errors
Apers can audit your models to find mistakes.
**Example instructions:**
* "Check this model for formula errors"
* "Find any broken links in this spreadsheet"
* "Audit this proforma for calculation mistakes"
This is useful for models your firm created in the past. Apers helps make sure they're error-tight before you use them again.
## Asking Questions About Your Model
Once uploaded, you can ask Apers anything about the spreadsheet:
* "How is the IRR calculated?"
* "What assumptions drive the cash flow?"
* "Explain the debt schedule"
Apers will answer based on what it learned from your file.
# Analyzing Deals
Source: https://docs.apers.app/analyze-deals
Learn how to analyze deals using Chat and Deals in Apers
In Apers, there are two ways to analyze deals: **Chat** and **Deals**.
| | Chat | Deal |
| ------------- | -------------------------------- | ------------------------------------------------- |
| **Purpose** | Quick research and analysis | Comprehensive deal management |
| **Structure** | Standalone conversation | Contains multiple chats + all deal-relevant files |
| **Best for** | Fast exploration, quick modeling | Committed, in-depth deal analysis |
A Chat can be converted into a Deal if you decide to commit further to a deal.
## Starting with a Quick Chat
Click **"Start a quick chat"** to begin.
Upload deal information into the **Data Room** on the right side by dragging and dropping. Apers understands all your files automatically.
Start chatting, working, and modeling from the **Chat Box** on the left side.
## Converting a Chat to a Deal
Move your cursor to the **Convert to Deal button**.
Click **"Convert to deal"** and your Deal will be created.
## Creating a Deal Directly
Alternatively, click **"Create a deal"** instead of starting a quick chat. This allows you to:
* Systematically input key deal attributes (name, address, additional information)
* Upload files
* Attach **Playbooks** (your investment preferences and investment thesis)
## Working with Subchats
Under a Deal, you can create as many subchats as needed. All subchats share the Deal's Data Room.
This approach allows you to work beyond the typical context window limitations, which is essential for complex real estate deals.
**Example workflow:**
Conduct market research to understand market assumptions, then export your findings to the Data Room.
Start a new subchat and begin modeling using the exported data by telling Apers to retrieve it.
# Build Strategies with Playbooks
Source: https://docs.apers.app/build-strategies
Formalize your investment thesis and simulate counterparty preferences with Apers Playbook
Playbook is a powerful feature that allows users to:
1. **Formalize their investment thesis** — Make better decisions over time with clearly defined criteria
2. **Simulate counterparty preferences** — Understand prospects' or counterparties' investment preferences and simulate their possible actions
Playbooks can be updated as you analyze more deals. In future versions of Apers, Playbooks will be able to improve automatically.
## Creating a Playbook
Click **Playbook** from the left side panel.
Click **"Create New Playbook"** to begin.
Select either **Express Mode** or **Precision Mode**.
## Playbook Modes
| | Express Mode | Precision Mode |
| ---------------- | --------------------------------------------------------------------------- | ------------------------------------------ |
| **Best for** | Quick setup | Detailed, sophisticated criteria |
| **How it works** | Describe your goals, preferences, or paste your investment policy statement | Manually configure all investment criteria |
| **Output** | Apers constructs the Playbook for you | Full control over every parameter |
## Configuring Your Playbook (Precision Mode)
In Precision Mode, you can define the following:
Define your strategy name (can differ from fund mandate), asset classes, and strategies.
Set the status of your Playbook:
* **Draft** — Work in progress
* **Active** — Ready to use
* **Inactive** — Archived or paused
Specify asset classes, property type, strategy, and target geography (e.g., US Sun Belt markets with strong population growth).
Define objectives such as IRR, DSCR, and other performance criteria.
Set must-pass criteria (e.g., deal size) and return targets (e.g., IRR must be more than 15%).
## Using Playbook with Deals
Open the Deal you want to analyze.
Click the **"Run Playbook"** button.
Choose the Playbook you want to apply to this Deal.
A **green dot** will appear on the "Run Playbook" button, indicating the Playbook is active.
Once a Playbook is attached, all interactions within the Deal leverage your investment criteria behind the scenes — no matter which subchat you are operating in.
# Overview
Source: https://docs.apers.app/credits/overview
Understand how credits work and how they are consumed across Apers
Credits are the currency that powers AI features in Apers. Every time you use a capability like chat, financial modeling, or document processing, credits are consumed from your account balance.
## How Credits Work
Your account has a credit balance that decreases as you use AI features. The amount consumed varies depending on the complexity and type of task.
| Action | Credit Usage |
| ----------------------- | -------------------------------------------- |
| **Chat messages** | Varies by conversation length and complexity |
| **AI Excel Modeling** | Varies by model size and operations |
| **Document processing** | Varies by file size and type |
Your current credit balance is always visible in the dashboard so you can track usage in real time.
## Monthly Credit Refresh
Every billing cycle, your account receives a fresh allocation of credits based on your subscription plan. This allocation is added to your existing balance, so any credits you didn't use carry over.
Choose a plan that fits your usage level. Each plan includes a monthly credit allocation.
Credits are deducted as you use AI features across Apers.
At the start of each billing cycle, your plan's monthly allocation is added to your balance. Unused credits from earlier cycles stay in your account.
## Running Low on Credits
If your balance is getting low before the next refresh, you have two options:
* **Purchase additional credits** on top of your plan allocation. See [Purchasing Credits](/credits/purchasing-credits).
* **Upgrade your plan** for a higher monthly allocation. See [Plans](/credits/plans).
Keep an eye on your usage patterns during the first few weeks to find the plan that best fits your workflow.
# Plans
Source: https://docs.apers.app/credits/plans
Compare Apers subscription tiers and find the right fit for your workflow
Apers offers three subscription tiers designed for different levels of usage. Each plan includes a monthly credit allocation that refreshes every billing cycle.
## Plan Tiers
Designed for individual users getting started with AI-assisted real estate analysis. Includes a monthly credit allocation suitable for moderate, everyday use.
Built for active professionals who rely on Apers daily. Includes a significantly larger monthly credit allocation for heavier usage across chat, modeling, and document processing.
Tailored for teams and organizations. Offers custom credit allocations, team management features, and dedicated support.
## Feature Comparison
| Feature | Basic | Pro | Enterprise |
| ----------------------- | ------------------- | ----------------- | ----------------- |
| **Monthly credits** | Standard allocation | Larger allocation | Custom allocation |
| **AI chat** | Yes | Yes | Yes |
| **AI Excel Modeling** | Yes | Yes | Yes |
| **Document processing** | Yes | Yes | Yes |
| **Playbooks** | Yes | Yes | Yes |
| **Workflows** | Yes | Yes | Yes |
| **Team management** | -- | -- | Yes |
| **Priority support** | -- | -- | Yes |
All plans include access to every Apers feature. The primary difference between tiers is the monthly credit allocation and team capabilities.
## Choosing the Right Plan
* **Basic** is a good starting point if you are evaluating a handful of deals per month and want to explore what Apers can do.
* **Pro** makes sense once Apers becomes a core part of your workflow and you are running models, processing documents, and chatting frequently.
* **Enterprise** is the right choice when multiple team members need access and you want centralized billing and administration.
You can upgrade or downgrade your plan at any time from the dashboard. Changes take effect at the start of your next billing cycle.
# Purchasing Credits
Source: https://docs.apers.app/credits/purchasing-credits
Buy additional credits when you need more than your plan includes
If you run out of credits before your next billing cycle, you can purchase additional credits directly from the dashboard. Purchased credits are added to your balance immediately.
## How to Purchase Credits
Navigate to your account dashboard and find the credits section.
Choose from the available credit packages. Larger packages offer better value per credit.
Confirm your purchase. Payment is processed through your account's payment method on file.
Your new credits appear in your balance right away and are available for immediate use.
## Purchased Credits vs. Plan Credits
| | Plan Credits | Purchased Credits |
| -------------- | ---------------------------------------- | ----------------------------- |
| **Source** | Included with your subscription | Bought separately |
| **Cadence** | Added at the start of each billing cycle | Added once, when you buy them |
| **Expiration** | Never expire | Never expire |
All your credits, plan and purchased, share a single balance and never expire. Purchasing simply tops up that balance.
## When to Purchase vs. Upgrade
* **Purchase credits** if you occasionally need a small top-up near the end of a billing cycle.
* **Upgrade your plan** if you consistently run out of credits before your refresh date. See [Plans](/credits/plans) for tier details.
Credit purchases are non-refundable. Review your current balance before purchasing.
# Referrals
Source: https://docs.apers.app/credits/referrals
Earn bonus credits by referring other professionals to Apers
Apers rewards you for spreading the word. When someone you refer subscribes to a paid plan, both of you earn bonus credits.
## How Referrals Work
Find your unique referral link in the dashboard under your account settings.
The person you refer creates an Apers account using your link.
Once your referral subscribes to any paid plan (Basic, Pro, or Enterprise), the reward is triggered.
Bonus credits are added to your balance and to your referral's balance automatically.
## Referral Rewards
| Recipient | Reward |
| ---------------------- | ------------------------------------ |
| **You** (the referrer) | Bonus credits added to your balance |
| **Your referral** | Bonus credits added to their balance |
Referral credits are added to your balance and never expire, just like the rest of your credits.
## Tips for Referring
* Share your link with colleagues, partners, or anyone in your professional network who works in real estate.
* There is no limit to the number of people you can refer. Every successful referral earns you more credits.
* You can track the status of your referrals in the dashboard.
Referral credits stack. The more people you refer, the larger your balance grows.
# Attaching Playbooks to Deals
Source: https://docs.apers.app/deals/attaching-playbook
Learn how Playbooks work within deals
When you attach a Playbook to a deal, Apers uses your investment strategy as background information for all analysis.
## What Happens When You Attach a Playbook
Once a Playbook is attached:
* All existing sub-chats gain access to the Playbook
* All new sub-chats automatically use the Playbook
* Apers reads deal information through the lens of your investment strategy
**Example:**
If you attach a Core Plus investment thesis Playbook, the entire Apers system for this deal will analyze everything based on Core Plus criteria.
## How to Attach a Playbook
Go to the deal you want to work with.
Click the **Run Playbook** button.
Choose from your existing Playbooks.
The Playbook is now attached to this deal.
## Swapping Playbooks
You can change the attached Playbook anytime.
Click the **Run Playbook** button again.
Choose a new Playbook from your list.
Apers now uses the new investment strategy for this deal.
Swapping Playbooks is useful when you want to analyze the same deal under different investment criteria—for example, comparing a Core Plus strategy vs. a Value-Add strategy.
## Why Use Playbooks with Deals?
| Benefit | Description |
| ----------------------- | ----------------------------------------------------------------- |
| **Consistent analysis** | All sub-chats use the same investment criteria |
| **Faster insights** | Apers already knows what metrics matter to you |
| **Easy comparison** | Swap Playbooks to see how a deal looks under different strategies |
Learn more about creating and managing Playbooks in the Playbook documentation.
# Sub-Chats
Source: https://docs.apers.app/deals/chats
Learn how sub-chats work within a deal
A deal can contain many sub-chats. Each sub-chat is a separate conversation, but they all share the same Data Room.
## How Sub-Chats Work
* Each sub-chat is its own conversation with Apers
* All sub-chats can access files in the deal's Data Room
* All sub-chats can use the deal's attached Playbooks
## Chat Isolation
Chats are siloed. Chat A cannot directly reference Chat B.
This is intentional. It prevents cross-conversation contamination and keeps your analysis clean.
**Why this matters:**
* Each chat stays focused on its task
* No confusion from mixing different analyses
* Cleaner context for Apers to work with
## Sharing Information Between Chats
Even though chats can't directly talk to each other, you can still pass information between them using the Data Room.
In your first chat, ask Apers to export results to the Data Room. For example: "Export this market research summary to the Data Room."
Create a new sub-chat.
In the new chat, tell Apers to use the exported file. For example: "Use the market research file to build a proforma."
## Example Workflow
Conduct market research to understand market assumptions. Export your findings to the Data Room.
Start a new subchat. Build a proforma using the exported market research.
Start another subchat. Run an error check on the proforma you created.
This approach lets you work beyond typical context window limitations—essential for complex real estate deals.
## Managing Chat Sessions
You can manage your sub-chats to keep your workspace organized:
* **Rename a chat** — Click the chat name to edit it
* **Delete a chat** — Remove chats you no longer need from the side panel
## Saving Chat Output
Apers lets you save valuable chat responses for later use:
| | Description |
| -------------------- | ------------------------------------------------------------------ |
| **Save as Document** | Export the full chat history as an HTML document to your Data Room |
| **Save as Markdown** | Save a specific AI response as a markdown file in your Data Room |
This makes it easy to preserve research findings, summaries, or analysis without copying and pasting.
## Web Search
Apers can search the web during your conversation to find current information. Simply ask a question that requires up-to-date data, and Apers will search and incorporate the results into its response.
**Examples:**
* "What are current cap rates in the Austin multifamily market?"
* "Find recent comparable sales for industrial properties in Dallas"
## Eco Mode
Toggle **Eco Mode** to keep working without spending credits. Eco Mode uses a lighter AI model that works well for straightforward tasks like formatting, simple lookups, and basic questions.
Use Eco Mode for routine tasks and switch back to standard mode for complex analysis and modeling.
# Deal Tabs

# Market Data
Source: https://docs.apers.app/deals/market-data
Access property demographics and mortgage rates directly inside your deal
The Market Data tab gives you local demographics and current mortgage rates for any deal, so you can evaluate market context without leaving Apers.
## What's Included
### Property Demographics
Apers pulls census-tract-level demographics for any US address. Data points include:
| Category | Examples |
| -------------- | -------------------------------------------- |
| **Population** | Total population, population density |
| **Income** | Median household income, income distribution |
| **Education** | Education attainment levels |
| **Housing** | Homeownership rate, median home value |
Demographics are scoped to the census tract surrounding the property address, giving you a precise view of the immediate area.
### Mortgage Rates
Apers provides current national mortgage rates:
* **30-year fixed** rate
* **15-year fixed** rate
These rates update automatically so you always have a current reference point when evaluating financing assumptions.
## How to Access Market Data
Navigate to **Deals** in the left sidebar and select the deal you want to review.
Inside the deal view, click the **Market Data** tab.
Demographics and mortgage rates load automatically based on the property address associated with the deal.
Make sure your deal has a property address set. Market data relies on the address to pull the correct demographics for the surrounding area.
## Why It Matters
* **Faster underwriting**: See income levels, population trends, and housing stats alongside your deal files.
* **Financing context**: Reference current mortgage rates while building or reviewing financial models.
* **Single workspace**: No need to switch to external sites for basic market research.

# Document Editing
Source: https://docs.apers.app/documents/overview
Learn how Apers creates and edits Google Docs within your deals
Apers can create and edit Google Docs directly within your Deal workspace. Write memos, reports, LOIs, and other documents without leaving the platform.
## What Apers Can Do
| | Description |
| --------------------------- | ---------------------------------------------------------------------------- |
| **Create Documents** | Write memos, reports, summaries, LOIs, and other deal documents from scratch |
| **Edit Existing Documents** | Insert text, replace content, format headings, and create lists |
| **Work With Deal Context** | Apers uses your Data Room files to inform what it writes |
## How to Start
Just type what you want in the Chat box.
**Examples:**
* "Write an investment memo for this deal"
* "Create an LOI based on these terms"
* "Draft a market summary using the offering memorandum"
* "Add a risks section to my existing memo"
Documents appear in your Data Room alongside other deal files. Other sub-chats can reference them just like any uploaded document.
## Creating a Document
Describe the document you need. Be specific about the type, content, and any deal details to include.
Apers generates the document and saves it to your Data Room. Open it to review.
Ask Apers to revise, expand, or restructure sections as needed.
## Editing an Existing Document
If you already have a Google Doc in your Data Room, Apers can modify it directly.
**Examples:**
* "Add an executive summary to the top of my memo"
* "Replace the assumptions section with updated numbers"
* "Format the key terms as a bulleted list"
Reference specific sections or content when requesting edits. The more precise your instructions, the better the result.
## Exporting Chat Responses
You can also export any chat response as a markdown document to your Data Room. This is useful when Apers produces analysis or summaries in chat that you want to save as a standalone file.
# Email to Apers
Source: https://docs.apers.app/email-to-apers
Start a chat with Apers straight from your inbox by emailing chat@apers.app
You don't have to open Apers to start working. Email or forward anything to **[chat@apers.app](mailto:chat@apers.app)**, and Apers will read it, work through your request, and reply by email.
## How It Works
From the email address on your Apers account, send a question or forward a deal email to **[chat@apers.app](mailto:chat@apers.app)**. Attach any files you'd like Apers to review.
Apers reads your email, adds any attachments to its Data Room, and works through your request.
Apers replies by email with the answer, plus a link to open the conversation in Apers and review the full work.
Replying to that email continues the same conversation, so you can ask a follow-up or send another document without leaving your inbox.
Send from the email address associated with your Apers account. Apers uses it to confirm the request is really you and to load your account. Mail from an address Apers doesn't recognize gets an invitation to sign up instead of an answer.
## What You Can Send
* A quick question, such as "Is a 5.75% exit cap defensible for a 1980s vintage Phoenix multifamily deal?"
* A forwarded broker email with an offering memorandum or rent roll attached
* One or more documents for Apers to ingest and analyze
Apers accepts the same file types by email as it does for in-app uploads, including PDFs (scanned ones too), Excel, CSV, Word, and images. See [Uploading & Understanding Documents](/ingestion) for the full list.
Forwarding shines for deals that land in your inbox: forward the broker's email, attachments and all, and Apers starts analyzing right away, no copying or downloading required.
## Good to Know
* **Credits apply.** Work done from email draws on your credits, just like work in the app. If your balance runs out, Apers replies with a link to top up instead of starting the work.
* **One inbox, one account.** Apers matches your email to your account, so send from the address you signed up with.
* **Every email starts a chat.** A new email opens its own conversation, named after your subject line, and replies continue it. Replies from Apers come from [chat@apers.app](mailto:chat@apers.app).
* **Files can come back attached.** When Apers produces a file, such as a model or a presentation, smaller ones ride along with the reply; anything larger is waiting for you in the chat.

Learn how Apers' powerful unstructured data ingestion engine processes your files
Apers has a powerful unstructured data ingestion engine built specifically for real estate documents, including scanned files, unstructured PDFs, and CSV spreadsheets.
## How to Upload Files
Uploading files to Apers is simple:
1. Navigate to the uploading section of the system
2. Drag and drop your files directly into the upload area
3. Apers will automatically begin processing your files
You can upload multiple files at once. Apers will process each file individually and display its status.
You can also send documents to Apers by email, without opening the app. See [Email to Apers](/email-to-apers).
## Supported File Formats
Apers can process a wide range of file types common in real estate:
| Category | Formats |
| ----------------- | ------------------------------- |
| **Documents** | PDF, DOCX, TXT, RTF, Markdown |
| **Spreadsheets** | Excel (.xlsx), CSV |
| **Presentations** | PowerPoint (.pptx) |
| **Images** | JPG, PNG, GIF, WebP, HEIC, TIFF |
| **Data Files** | JSON, XML, YAML, HTML |
| **Other** | SQL, LOG files |
Scanned PDFs are fully supported. Apers uses OCR to extract text from scanned documents automatically.
Each file can be up to 30 MB, and images up to 5 MB each. Legacy and macro-enabled Office files such as `.xls`, `.xlsm`, `.doc`, and `.ppt` are converted to their modern equivalent (`.xlsx`, `.docx`, `.pptx`) on upload; macros and VBA are not preserved.
## File Processing Statuses
Once uploaded, Apers processes your files through several stages. You can track progress by viewing the status of each file:
The file has been uploaded to Apers but has not been processed.
This typically occurs when a new file is created by Apers directly. AI-generated files are not automatically incorporated into processing unless you specifically click **Summarize** from the triple-dot icon (⋮).
The system is analyzing the file to understand what it is and determining its data type.
Apers performs OCR (Optical Character Recognition), especially for scanned documents, to understand the structure and extract key information.
Apers uses its AI capability to quickly read and understand the entire document.
The system failed to process the file.
This can happen when the file type is not supported or if one of the processing steps failed. Click **Summarize** from the triple-dot icon (⋮) to restart the process.
The file is fully processed. Apers understands the document, has compressed it, and completed OCR.

# Best Practices
Source: https://docs.apers.app/library/04-best-practices
Tips for organizing and getting the most out of your Library
Get the most out of your Library with these tips.
## Name Files Clearly
Use descriptive names so you and your team can find files easily.
| Instead of... | Use... |
| ---------------- | ------------------------------------ |
| Model\_v2.xlsx | Multifamily Proforma Template.xlsx |
| Assumptions.xlsx | 2024 Market Assumptions - Texas.xlsx |
| Template.docx | LOI Template - Acquisition.docx |
## Save Often
Every time you build something useful, save it to the Library.
**Good candidates to save:**
* A model you'll use again
* Market assumptions you researched
* Templates your firm uses regularly
* Files you improved or cleaned up
## Keep Files Updated
When you improve a model or template, save the new version to the Library. This keeps your firm working with the best versions.
Consider adding version numbers or dates to file names when you update them.
## Organize by Type
Group similar files together:
* **Models**: Proformas, underwriting templates, portfolio trackers
* **Templates**: LOIs, memos, reports
* **Assumptions**: Market data, cap rates, rent comps
## Share with Your Team
The Library is firm-wide. When you save something useful, your whole team benefits.
**Encourage your team to:**
* Save their best work
* Use existing templates instead of starting from scratch
* Update files when they find improvements

# Playbook
Source: https://docs.apers.app/playbook/01-overview
Learn how to create and deploy your investment thesis with Playbooks
Playbooks let you define your investment thesis in a structured way. Once created, you can deploy your playbook to evaluate any deal against your criteria.
## What is a Playbook?
A Playbook captures your investment strategy, including:
* What you're investing in and why
* Your target returns and financial thresholds
* Must-pass criteria for deals
* Property types and asset classes you prefer
## Why Use Playbooks?
| | Benefit |
| ----------------------- | --------------------------------------------------- |
| **Consistency** | Evaluate every deal against the same criteria |
| **Speed** | Quickly screen deals without manual review |
| **Multiple Strategies** | Create different playbooks for different approaches |
## Create Multiple Playbooks
You can create as many playbooks as you need. Common ways to organize:
**By Asset Class:**
* Multifamily
* Logistics
* Data Centers
* Lodging
**By Risk Preference:**
* Core
* Core Plus
* Value Add
* Opportunistic
Each playbook is independent. You can deploy different playbooks to the same deal to see how it scores under different strategies.
# Creating a Playbook
Source: https://docs.apers.app/playbook/02-creating-a-playbook
Learn how to create a new playbook using Express or Precision Mode
Creating a playbook is simple. You can let Apers build it for you, or define every detail yourself.
## Getting Started
Go to the left panel and click **Playbooks**.
Click the **Create New Playbook** button.
Select **Express Mode** or **Precision Mode**.
## Express Mode
Let Apers build your playbook automatically.
Click **Express Mode** from the options.
A text box appears. Describe your investment criteria, target returns, property preferences, and deal requirements.
Apers extracts and structures your playbook automatically.
**Example description:**
> "We target value-add multifamily in the Southeast US. Deal size between $20M-$50M. Minimum IRR of 15%, prefer properties built after 1990 with value-add potential through renovations."
Express Mode is great when you want to get started quickly without filling out every field manually.
## Precision Mode
Define every detail with full control.
Click **Precision Mode** from the options.
Define what you're investing in and why.
Add must-pass rules and return targets.
Check everything and click **Save** to create your playbook.
See the next pages for details on each section of Precision Mode.
# Express Mode
Source: https://docs.apers.app/playbook/03-express-mode
Let Apers build your playbook automatically from a description
Express Mode lets you describe your investment strategy in plain language. Apers builds the playbook for you.
## How It Works
Go to the left panel and click **Playbooks**.
Click the **Create New Playbook** button.
Click **Express Mode**.
A text box appears. Type your investment criteria, target returns, property preferences, and deal requirements.
Apers extracts the key details and creates a structured playbook for you.
## What to Include
When describing your strategy, try to cover:
| Topic | Examples |
| ---------------------- | ------------------------------------------ |
| **Asset Class** | Equity, debt, mezzanine, preferred equity |
| **Property Types** | Multifamily, industrial, office, retail |
| **Risk Profile** | Core, core plus, value add, opportunistic |
| **Target Geography** | Southeast US, top 25 MSAs, Texas markets |
| **Deal Size** | $10M-$50M, minimum \$20M |
| **Return Targets** | 15% IRR, 1.8x equity multiple |
| **Other Requirements** | Year built, occupancy, value-add potential |
## Example Descriptions
**Example 1: Multifamily Value Add**
> "We target value-add multifamily in the Southeast US. Deal size between $20M and $50M. Minimum IRR of 15%. Prefer properties built after 1990 with renovation upside."
**Example 2: Industrial Core Plus**
> "Looking for core plus industrial and logistics properties in major distribution markets. Target 10-12% levered IRR. Deal size \$30M+. Prefer long-term leases with credit tenants."
**Example 3: Opportunistic Mixed Strategy**
> "Opportunistic strategy across multifamily, office, and retail. Focus on distressed assets or repositioning plays. Target 20%+ IRR. Markets include Texas, Florida, and Arizona."
The more detail you provide, the better Apers can structure your playbook. You can always edit the playbook after Apers creates it.
## When to Use Express Mode
Express Mode is great when:
* You want to get started quickly
* You have a clear strategy in mind but don't want to fill out every field
* You're creating a first draft to refine later
If you need full control over every detail, use Precision Mode instead.
# Precision Mode: Investment Thesis
Source: https://docs.apers.app/playbook/03-precision-mode-investment-thesis
Define what you're investing in and why
The Investment Thesis section captures the foundation of your strategy.
## Basic Information
Give your playbook a name that describes the strategy (e.g., "Southeast Value-Add Multifamily").
Set the playbook status:
* **Draft**: Still being built
* **Active**: Ready to use for evaluations
* **Inactive**: Paused or archived
## Asset Class
Select one or more asset classes:
| Asset Class | Description |
| ---------------- | -------------------------------- |
| Equity | Direct ownership investment |
| Debt | Lending or debt instruments |
| Mezzanine | Subordinated debt financing |
| Preferred Equity | Preferred return equity position |
You can select multiple asset classes. For example, a strategy might target both Equity and Preferred Equity deals.
## Property Types
Select one or more property types:
| Category | Property Types |
| --------------- | --------------------------------------------------------------------------------------------- |
| **Residential** | Multifamily, Student Housing, Senior Housing, Manufactured Housing, Single Family Rental, BTR |
| **Industrial** | Industrial, Logistics, Manufacturing, R\&D, Cold Storage |
| **Office** | Office, Medical Office, Life Science |
| **Retail** | Retail, Net Lease |
| **Specialty** | Hospitality, Self-Storage, Data Center, Healthcare, Parking, Gaming Entertainment |
| **Other** | Land, Agricultural, Timber, Mixed Use, Other |
You can select multiple property types. For example, a strategy might cover both Multifamily and Student Housing.
## Risk Profile
Select one or more risk levels:
| Risk Level | Description |
| ------------- | ----------------------------------------- |
| Core | Stabilized, low-risk assets |
| Core Plus | Stabilized with minor value-add potential |
| Value Add | Significant improvement opportunities |
| Opportunistic | High risk, high return potential |
You can select multiple risk profiles. For example, a strategy might target both Value Add and Opportunistic deals.
## Additional Details
Describe where you want to invest (e.g., "Top 25 MSAs in the US" or "Southeast and Texas markets").
Describe your overall goal for this strategy.
# Precision Mode: Criteria
Source: https://docs.apers.app/playbook/04-precision-mode-criteria
Define your must-pass rules and return targets
The Criteria section lets you set the rules that deals must meet.
## Must-Pass Criteria
These are hard requirements. If a deal doesn't meet them, it fails the playbook evaluation.
**Examples:**
* Deal size must be greater than \$10M
* Property must be built after 1980
* Occupancy must be above 85%
Must-pass criteria are pass/fail. A deal either meets them or it doesn't.
## Return Targets
Set the financial thresholds for your strategy.
**Examples:**
| Metric | Target |
| --------------- | ------ |
| Levered IRR | > 15% |
| IRR Floor | > 13% |
| Cash-on-Cash | > 8% |
| Equity Multiple | > 1.8x |
You can set both minimum thresholds (floors) and target ranges.
## How Criteria Work Together
When you deploy a playbook:
1. Apers checks all **must-pass criteria** first
2. If the deal passes, Apers evaluates it against your **return targets**
3. You get a clear view of how the deal scores against your strategy
Be specific with your criteria. The more precise you are, the better Apers can evaluate deals for you.
# Precision Mode: Review & Save
Source: https://docs.apers.app/playbook/05-precision-mode-review-save
Review your playbook and save it for deployment
The Review section shows everything you've defined before you save.
## What You'll See
The review page displays:
* **Investment Thesis**: Strategy name, status, asset classes, property types, risk profile, geography, and objectives
* **Criteria**: All must-pass rules and return targets
## Saving Your Playbook
Check that all details are correct.
Click the **Save** button to create your playbook.
Your playbook is now available to deploy on any deal.
## Editing Later
You can always go back and edit your playbook:
1. Go to **Playbooks** in the left panel
2. Click on the playbook you want to edit
3. Make your changes
4. Save again
Changing a playbook's status to **Inactive** keeps it saved but removes it from active use.

* Different team members have different investment criteria
Just click **Add a Playbook** to include more playbooks in your evaluation.
# Creating Presentations
Source: https://docs.apers.app/presentations/creating-presentations
Learn how to create new presentations from scratch
Apers can build Google Slides presentations from scratch based on your instructions and uploaded documents.
## Creating a Presentation
Tell Apers what you need, and it will build a complete slide deck for you.
**What you can create:**
* Investor decks
* Deal summaries
* Market overview presentations
* Property marketing packages
* Any custom presentation you describe
Type what you want in the Chat box. For example: "Create an investor deck for this multifamily acquisition."
Drag and drop offering memorandums, financials, or other documents into the Data Room. Apers will pull key information into your slides.
Apers creates a Google Slides file in your Data Room with formatted slides, text, and layouts based on your instructions.
## Using Your Deal Data
If you already have deal information in Apers, you can reference it directly.
**Examples:**
* "Create a presentation summarizing the deals in my pipeline"
* "Build a deck using the financials from the Elm Street deal"
* "Turn this offering memo into a slide deck"
Apers reads your uploaded documents and extracts the relevant data to populate your slides.
The more context you provide, the better your presentation will be. Upload supporting documents or describe the deal in detail.
## Where Your Presentation Is Saved
Your presentation appears as a Google Slides file in the Data Room. Click it to preview, or open it directly in Google Slides for further editing.
# Editing Presentations
Source: https://docs.apers.app/presentations/editing-presentations
Learn how to edit and update existing presentations
Apers can modify existing presentations, whether they were created in Apers or uploaded as PPTX files.
## What You Can Edit
| | Description |
| ------------------- | --------------------------------------------------------- |
| **Add Slides** | Insert new slides at any position in your deck |
| **Change Text** | Update headings, body text, or speaker notes on any slide |
| **Insert Images** | Add images to existing slides |
| **Reformat Slides** | Adjust layouts, fonts, and styling |
| **Delete Slides** | Remove slides you no longer need |
| **Reorganize** | Reorder slides to improve the flow of your presentation |
## Editing a Presentation
If your presentation is already in the Data Room, it is ready to go. Otherwise, drag and drop a PPTX file into the Data Room.
Type your edit request in the Chat box. For example: "Add a slide with the financial summary after slide 3" or "Update the title on the first slide."
Apers applies the edits to your Google Slides file. Click the file in the Data Room to preview, or open it in Google Slides.
## Working with Uploaded PPTX Files
You can upload an existing PowerPoint file and Apers will read and modify it.
Drag and drop the PPTX file into the Data Room.
Apers processes the file and understands its content, structure, and layout.
Ask for any edits: "Add a new conclusion slide", "Fix the formatting on slide 5", or "Replace the revenue numbers with updated figures."
Uploaded PPTX files are converted to Google Slides so Apers can edit them. You can export the result back to PPTX from Google Slides if needed.
## Tips for Better Edits
* **Be specific about slide numbers** when targeting particular slides
* **Describe the layout you want** if you have a preference for how content is arranged
* **Reference your documents** to pull in updated data automatically
Large presentations with complex animations or embedded media may not fully preserve all formatting during conversion.

# Templates
Source: https://docs.apers.app/templates
Use pre-built templates to get started quickly across Deals, Documents, Playbooks, and Workflows
Templates are pre-built starting points provided by the Apers team. Instead of building from scratch, start with a template and customize it to fit your needs.
## Where Templates Are Available
Templates are available across multiple features in Apers:
| Feature | What Templates Provide |
| ------------- | ----------------------------------------------------------- |
| **Deals** | Pre-configured deal structures with common fields and setup |
| **Documents** | Ready-to-use document formats stored in your Library |
| **Playbooks** | Proven investment strategies with pre-set criteria |
| **Workflows** | Pre-built automation sequences for common tasks |
## Templates by Feature
### Deal Templates
Start a new deal with a pre-configured structure. Deal templates include common fields, default settings, and organizational structure so you can skip the setup and focus on analysis.
### Document Templates
Use pre-built document formats available in your [Library](/library/01-overview). These include financial models, memo formats, and other reusable documents your firm needs regularly.
### Playbook Templates
Start with a proven investment strategy instead of defining criteria from scratch. Playbook templates cover common approaches by asset class and risk profile, ready for you to adjust to your firm's targets.
### Workflow Templates
Use pre-built automation sequences created by the Apers team. Workflow templates handle common repetitive tasks so you can automate immediately without designing each step.
## How to Use Templates
Go to Deals, Playbooks, or Workflows from the left side panel. For documents, open the Library.
Each feature has a **Create from Template** option. Click it to browse available templates.
Browse the list and select the template that fits your use case.
Once created, the template is yours to edit. Adjust any fields, criteria, or steps to match your requirements.
You can duplicate any template to create multiple variations without modifying the original.
## Next Steps
Organize and manage your real estate projects.
Store and reuse documents and models across deals.
Define and deploy your investment thesis.
Automate repetitive tasks with custom or template workflows.

Learn how to automate repetitive tasks using Workflows in Apers
Workflows allow you to automate repetitive tasks by letting Apers run pre-defined steps autonomously.
## Creating a Workflow
Click the **Workflows** tab on the left side panel to get started.
| | Description |
| ------------------------ | ---------------------------------------------------------------------------------------------------------- |
| **Create from Template** | Recommended. Apers provides a collection of pre-built workflows you can duplicate and save to your account |
| **Create New Workflow** | Build a custom workflow from scratch |
We recommend starting with templates first. You can duplicate and customize to your needs.
## Building a Custom Workflow
Click the **Create New Workflow** button.
Specify the workflow **Name** and **Description**.
Enter the AI instruction to execute in each step. For example, "Read all lease files within the data room."
Click **Add Step** to add additional steps to your workflow.
Configure input requests so Apers prompts users for information before running. For example, a market research workflow can ask which city or sub-market to analyze, then Apers will conduct the research steps based on that input.
Click **Save** to save the workflow to your Apers account.
## Running a Workflow
Workflows with more steps will consume Smart Request credits faster. Consider balancing workflow sophistication with credit usage.
**From a Deal:**
Navigate to the Deal you want to run the workflow on.
Click the **Run Workflow** button and select the workflow from the dropdown menu.
**From a Chat:**
Click the **Run Workflow** button on the left side of the chat box.
Select the workflow you want to use.

## Two Ways to Create a Workflow
| | Description |
| ------------------------ | --------------------------------------------------- |

Create custom workflows to automate your repetitive tasks.
## Creating a New Workflow
Click **Workflows** in the left side panel.
A popup window will appear.
Enter the workflow attributes (see below).
## Workflow Attributes
Give your workflow a clear name so you can find it later.
Add details about what this workflow does.
The instructions Apers will follow. You can add multiple steps that run one after another.
## Adding Workflow Steps
Each step is an instruction for Apers to execute. Steps run in order, from first to last.
Click on a step's text box to edit it.
Type what you want Apers to do in this step. For example: "Summarize the rent roll" or "Calculate the cap rate."
Click to add additional steps as needed. Each step runs after the previous one finishes.
## Using Input Requests
Sometimes you need information from the user before running a workflow. Input requests let you ask for this.
**Example:** A market research workflow might need to know which market to research.
When you add an input request:
1. Apers will ask the user for that information when the workflow runs
2. The user's answer is saved as a variable
3. You can use that variable in later steps
Once you create a variable, you can reuse it in any following step—no need to ask for the same information twice.
## Using Variables in Later Steps
After creating an input request, you can reference that variable in any step that comes after.
**Example:**
* Step 1: Input request for "market\_name"
* Step 2: "Research population growth in "
* Step 3: "Find comparable sales in "
The variable carries through the entire workflow.
# Running a Workflow

Learn how to run workflows in Deals and Chats
Once you've created a workflow, running it is simple.
## Running a Workflow in a Deal
Go to the Deal where you want to run the workflow.
Find and click the **Run Workflow** button.
Choose the workflow you want to use from the list.
If the workflow has input requests, Apers will ask you for that information.
Apers runs each step automatically, in order.
## Running a Workflow in a Chat
Start or open an existing Chat.
Find the button on the **bottom left** of the Chat.
Choose which workflow to run.
The workflow runs automatically from start to finish.
## What Happens When a Workflow Runs
1. Apers reads the first step and executes it
2. When done, it moves to the next step
3. This continues until all steps are complete
4. If there are input requests, Apers pauses to ask you
Workflows run the same way every time, so you get consistent results.
